Extract Systems — IDP Software Vendor
On This Page
Extract Systems was a Wisconsin-based provider of automated data extraction and redaction software that operated from 1998 until its acquisition by Vyne Medical in September 2024 and subsequent shutdown in December 2024.

Extract Systems ceased independent operations on December 19, 2024. Its technology now operates within Vyne Medical's Trace platform. This profile is maintained for historical reference and for organizations evaluating the combined Vyne Medical offering.
Overview
Founded in 1998 and headquartered in Madison, Wisconsin, Extract Systems built AI-powered document processing software for unstructured data management in healthcare and government. Over 26 years, the 35-person company processed more than 6 billion pages for 250+ customers across 41 US states, maintaining zero reported data privacy or security breaches throughout that period.
Vyne Medical acquired Extract Systems on September 17, 2024 in a buyout/LBO deal, ending the vendor's independent operation. Financial terms were not disclosed. David Rasmussen, CEO and President of Extract Systems, described the rationale at the time: "For over 25 years, Extract Systems has been dedicated to mastering the art and science of data extraction, delivering a machine learning technology that continuously improves results for virtually all data and document types. We're thrilled to join forces with Vyne Medical as we march toward our collective goal of helping make structured and unstructured data extraction and redaction swift, effortless, and virtually error-free."
Caleb Manscill, President of Vyne Medical, framed the acquisition in terms of market necessity: "The healthcare industry has dealt with outsized hardships comparative to other industries the past few years, making healthcare automation no longer a luxury, but a necessity in the market. Our acquisition of Extract Systems represents a significant stride in Vyne Medical's leadership in healthcare automation."
After operating briefly as a subsidiary, Extract Systems announced its shutdown on December 19, 2024, with its final industry appearance at AHIMA 2024 under the Vyne Medical banner.
Notable customers included the State of Colorado, State of Illinois, and Aurora Healthcare. The company ranked 749th among 3,100 active competitors in document management, competing against IntelliChief, REDCap, Compulink Management Center, Revver, and M-Files, and other intelligent document processing solutions.
How Extract Systems processed documents
Extract Systems built two core products around a shared principle: eliminate manual data entry from document-heavy workflows without requiring templates.
ID Shield Redaction automatically identified and permanently removed protected health information (PHI) and personally identifiable information (PII) from documents. Unlike template-based redaction tools, ID Shield recognized names, addresses, Social Security numbers, and medical identifiers across variable document layouts, making it practical for government agencies handling land records and court documents alongside healthcare providers managing medical records.
The LabDE Platform used machine learning-powered extraction to pull laboratory results from faxed and scanned documents, then mapped inconsistent result descriptions to standardized values before delivering structured data to EMR systems via HL7 interfaces. The platform achieved 99.9% accuracy to EMR standards, a figure validated against electronic medical record requirements rather than generic OCR benchmarks.
Both products followed a four-step workflow: analyze incoming documents, apply redaction and indexing rules, integrate with downstream systems, and manage exceptions through custom rules configured per customer. A graphical human-in-the-loop interface let staff review and validate AI-identified redactions and extractions before final output, supporting the high-accuracy threshold required in regulated environments.
Supported document formats included TIF, PDF, BMP, JPG, PBM, PCX, PNG, and PGM, with file limits of up to 300MB and 999 pages per document. The platform ran on Windows with HL7 interfaces for EMR and EHR connectivity.
Post-acquisition: technology inside Vyne Medical
The acquisition's clearest measurable outcome is transcription speed. Integrating Extract Systems' machine learning into Vyne Medical's Trace platform reduced healthcare data transcription from 5 minutes to 30 seconds at over 90% accuracy. For context, manual fax processing in healthcare typically requires approximately 20 minutes per entry, making the combined platform roughly 40 times faster than the baseline it replaces.
The combined offering now automates lab result extraction, standardizes test names, codes, units, and reference ranges, and delivers structured data directly to EMR systems. This extends Extract Systems' original revenue cycle focus into HIM departments and clinical laboratories, areas the company had not served independently at scale.
Vyne Medical also expanded into government services through the acquisition, applying Extract Systems' redaction and extraction capabilities to public sector document workflows where compliance requirements differ from commercial healthcare. Extract Systems won a top award at the AHIMA 2023 Conference, validating its data extraction capabilities within the healthcare information management community before the acquisition closed.
Use cases
HIPAA-compliant document redaction
Healthcare providers and government agencies used ID Shield to redact protected health information from medical records, legal documents, and land records before public release. The system identified PHI and PII across document types without requiring pre-configured templates, reducing setup time for agencies handling diverse document formats.
Laboratory data automation
Hospital systems deployed LabDE to process faxed COVID test results, pathology reports, and lab findings arriving as scanned documents. The platform extracted patient identifiers, test types, results, and reference ranges, then mapped inconsistent result descriptions to standardized EMR values. The 99.9% accuracy rate made it viable for clinical workflows where data errors carry direct patient safety implications.
Government records management
County clerk offices automated indexing of land records, court documents, and vital records by extracting key metadata including parties, dates, case numbers, and document types for public records search systems. The template-free approach handled the format variability typical of multi-decade document archives.
