Insiders Technologies — Cognitive Process Automation IDP
On This Page
Insiders Technologies is a Kaiserslautern-based cognitive process automation provider achieving 97% automation rates on challenging documents like death certificates for 6,000+ customers. In September 2025, Proalpha Group completed its acquisition of the company, folding its intelligent document processing (IDP) capabilities into a combined platform serving 11,000 enterprise customers across Europe.

Overview
Founded in 1998 as a spin-off of the German Research Center for Artificial Intelligence (DFKI), Insiders Technologies spent 27 years evolving from traditional OCR into deep learning-powered document processing. The company employs 200+ staff across Kaiserslautern, Berlin, Koblenz, and Munich, serving customers across insurance, banking, healthcare, retail, and the public sector.
Proalpha Group acquired Insiders Technologies on September 18, 2025, adding document classification, extraction, and mailroom workflow automation to Proalpha's Industrial AI Platform. The acquisition follows a dual-track integration strategy: Insiders' products embed into Proalpha's ERP and business applications while remaining available as a standalone offering for third-party systems. This best-of-breed approach reduces migration risk for existing customers outside the Proalpha ecosystem.
Eric Verniaut, CEO of Proalpha Group, described the strategic intent: "With the acquisition of Insiders, we are now expanding this AI platform for our customers to include cognitive process automation in document-based workflows, which will fundamentally change decision-making processes and operational efficiency."
Werner Weiss, CEO of Insiders Technologies, confirmed product alignment: "The solutions from Proalpha and Insiders are a perfect match and, as integrated AI offerings, will deliver real added value to both existing and new customers."
Code & Co. conducted comprehensive technical due diligence covering platform architecture, cloud infrastructure, ML/AI capabilities, cybersecurity, product roadmap, integration ecosystem, and engineering organization before the transaction closed, validating the technical foundation for integration.
How Insiders Technologies processes documents
Insiders Technologies combines image-based and text-based analysis through its Cognitive Classifier, using NLP and deep learning to handle document types that defeat traditional OCR: death certificates with notarial seals, handwritten letters, photographed documents, faxes, and medical records. The Universal Integration Layer for OCR (ILFO) connects multiple OCR components into a unified pipeline, lifting recognition rates approximately 15 percentage points to near 100% across all document classes, as demonstrated in the IDEAL Insurance Group deployment.
In December 2025, Insiders released FLOW 2.5, integrating large language models (LLMs) directly into omnichannel process handling. FLOW 2.5 is part of the OmnIA platform and brings LLM functions into employee workflows for faster response generation while maintaining response quality consistency. Felix Burkhard, Senior Sales Manager at Insiders Technologies, explained the design rationale: "With FLOW 2.5, we are bringing LLM functions to where they create real added value in everyday life for the first time: directly into the process of employees. Many of our customers are under a lot of pressure to communicate. The new functions help them to react more quickly and at the same time keep the quality of responses consistently high."
The core product portfolio covers the full document workflow from intake to structured output:
Cognitive Classifier combines image-based and text-based analysis to classify documents by visual features, including certificate seals and stamps that text-only classifiers miss.
Universal Integration Layer for OCR (ILFO) integrates multiple OCR engines into a single pipeline, handling handwritten, photographed, faxed, and medical documents that single-engine approaches cannot reliably process.
FLOW 2.5 / OmnIA embeds LLM functions into omnichannel response management, enabling employees to generate consistent, high-quality responses under communication volume pressure.
360° Invoice Management automates purchase-to-pay (P2P) workflows with native support for ZUGFeRD and XRechnung e-invoice standards.
smart INVOICE / smart ORDER handles multi-country document processing, proven across Germany, Switzerland, and Czech Republic in a single deployment.
smart ACT Performance Monitoring provides system optimization visibility, released in Service Pack 5.
Use cases
Insurance document processing
Insurance carriers achieve high automation rates on document types that traditional OCR cannot reliably handle. IDEAL Insurance Group processes 500,000+ documents annually at 97% automation, including death certificates carrying watermarks, notarial seals, and poor-quality handwritten content. Carsten Dickau, Business Analyst at IDEAL Insurance Group, described the outcome: "Thanks to the Cognitive Classifier and ILFO, we have been able to crack the tough nuts in input management and make a significant leap in process automation."
Named insurance customers in the Insiders portfolio include Debeka, one of Germany's largest mutual insurers, alongside IDEAL Insurance Group. Like competitors such as ABBYY, Insiders Technologies processes visual document features alongside structured data extraction for policy administration systems.
Multi-country manufacturing operations
Manufacturing companies deploy the platform across multiple countries for comprehensive document processing. Schäfer companies process over 520,000 documents annually across Germany, Switzerland, and Czech Republic using a single platform: approximately 150,000 orders, 330,000 invoices, and 40,000 technical certificates. Patrick Schuster, Solution Architect at Schäfer Shop Group, confirmed the breadth: "We feel very well equipped with the Insiders Technologies product range: it gives us excellent solutions in both purchase-to-pay and order management."
Named manufacturing customers include Continental and ThyssenKrupp Materials, both operating complex multi-entity document workflows across European jurisdictions.
Technical document validation
Beyond financial documents, the platform handles works and material inspection certificates, accuracy-critical document types requiring validation against technical standards. This extends the addressable workflow beyond standard P2P automation into quality assurance and compliance processes, relevant for manufacturers like Phoenix Contact and Continental operating under ISO and industry-specific certification requirements.
Banking and financial services
Bayern LB is among the named banking customers, indicating deployment in regulated financial environments where document accuracy and audit trails are non-negotiable. The platform's DFKI research heritage and long-standing academic partnerships with Fraunhofer Institutes IESE and ITWM support the compliance-grade accuracy claims.
