How DocuWare processes documents

It handles document splitting without separator pages or barcodes, handwritten text recognition (HTR), and extraction from complex tables and line items, including crumpled or stained documents. Integration occurs through Workflow Manager, StorageRobot, or email configuration. Three AI model tiers govern how extraction is configured: pre-built models work out of the box for common document types, fine-tuned pre-built models adapt to customer-specific layouts, and custom-built models handle proprietary formats requiring bespoke training. This tiered approach lets teams start with minimal configuration and scale to custom extraction logic as volume or complexity grows.

Version 7.13, released in early 2026, introduced two changes that affect how documents enter and move through the system. First, the Workflow Designer now runs entirely in a browser, the first time in the product line that no desktop application is required. The HTML-based designer adds auto-save, undo/redo, keyboard shortcuts, bulk action support for duplicating or deleting multiple workflow actions at once, custom error handling, and selective workflow export. A consolidated dashboard provides a single view of all workflows across file cabinets, covering both web-based and Desktop App workflows, with filtering options. Second, v7.13 extends automatic invoice identification and processing to FatturaPA (Italy) and KSeF (Poland), formats that fall outside the UBL standard previously supported. EWS and Graph API can run in parallel during the transition.
