How xSuite processes documents
xSuite Invoice runs natively on SAP BTP, covering the full AP automation cycle from document capture through approval and posting. Incoming invoices in PDF, email, paper, and machine-readable e-invoice formats are captured automatically, classified, matched against purchase orders, and routed for exception handling before posting directly to SAP Finance modules.
OCR technology extracts and converts invoice data to populate SAP system fields automatically. The platform then applies rule-based plausibility checks and machine learning enrichment suggestions for data validation. Approval routing supports unlimited steps by invoice line item, with role-based release tables managing workflow assignments across cost centers, order types, purchasing groups, sales orders, equipment, and vendors. An Invoice Overview dashboard provides real-time tracking across scan, validation, exceptions, parked, posted, and paid states. A Reporting API connects to business intelligence tools including Microsoft Power BI for real-time process analysis.
The Hypatos OEM integration adds LLM-based document understanding on top of this OCR foundation. Rather than building generative AI in-house, xSuite embedded Hypatos as a component, with plans to expand beyond invoice processing to other document types. Hypatos was recognized by Gartner as a leader in the 2024 Market Guide for Intelligent Document Processing, per the partnership announcement. The combined architecture positions xSuite against pure-play IDP vendors that lack SAP-native workflow integration, while closing the AI capability gap that traditional OCR-only approaches leave open.
In February 2026, xSuite launched xSuite eDNA (electronic Document Network Adapter), a product that receives inbound e-invoices and creates and sends outbound debtor invoices from SAP SD in XML formats compliant with EN 16931, the European e-invoicing standard. BERNER Group implemented xSuite's AI-driven invoice automation integrated with SAP to process supplier invoices without manual data entry. The system captures invoice data automatically, matches against purchase orders, routes exceptions for approval, and posts transactions directly to SAP Finance modules. The Clean Core architecture means the integration survives SAP upgrades without reconfiguration, a practical consideration for enterprises on active S/4HANA migration roadmaps.
E-invoicing regulatory compliance
European organizations use xSuite to comply with mandatory e-invoicing regulations effective in Germany and EU member states. The cloud service processes incoming electronic invoices according to legislative requirements, extracting structured data and integrating with SAP for compliant financial reporting. The xSuite eDNA product extends this to outbound invoice creation from SAP SD, covering both sides of the EN 16931 compliance requirement ahead of Germany's E-Rechnungspflicht deadline. Germany's mandatory e-invoicing obligation gives xSuite's existing 1,600-client SAP base a concrete reason to evaluate eDNA on a fixed timeline. Organizations migrating to S/4HANA Public Cloud via the GROW with SAP program can use xSuite Invoice as a certified, upgrade-safe AP automation layer. According to SAPinsider research, only 21% of SAP organizations had already adopted S/4HANA as of mid-2023, with 23% in implementation and the majority yet to start, against a legacy system end-of-maintenance deadline in 2027. That migration backlog represents xSuite's primary growth opportunity.
